Define the decision first
A partner check is most useful when it begins with the commitment you are considering. Are you about to accept an order, entrust cargo, offer delayed payment or change bank details? The consequence determines how much evidence you need and which mismatch deserves immediate attention.
Write down the company name, registration details, contact person, domain, phone number and payment information exactly as provided. This becomes the reference point for the rest of the check and helps prevent small differences from disappearing across forwarded messages or separate systems.
Build a consistent picture
Compare the supplied information with reliable, independent sources. Confirm that the legal entity is active, that its trading identity is plausible, and that the contact channels connect back to the same organisation. Review the website and domain in context: their age or presentation alone does not decide trust, but they can reveal questions worth asking.
Then look at business context. Does the request fit the company’s apparent activity? Are the route, payment terms and urgency coherent with the proposed work? Verification is stronger when identity and behaviour support the same explanation.
Turn findings into a next step
Separate confirmed facts, unresolved points and assumptions. A clean company record does not resolve a contact mismatch, while one unfamiliar detail does not automatically make the whole proposal unsafe. Ask targeted follow-up questions and verify sensitive changes through an established channel.
Finish with a clear operational decision: proceed, proceed with conditions, request more evidence or stop. Record why. The value of the check is not a collection of data; it is a decision the team can understand, repeat and revisit if new information appears.
Keep the review proportional
Not every relationship needs the same depth of review. Match the effort to the value at risk, the reversibility of the decision and the quality of the available evidence. A proportionate process helps the team focus on consequential gaps without turning every new enquiry into a lengthy investigation.
